How can a parent organization distribute a newsletter to a child organization?

If you have Newsletter Builder (for corporate customers), go to the Welcome to the Newsletter Builder platform page to learn about creating your newsletters.


Parent organizations that have one or more child organizations can distribute, or syndicate, the newsletters that they create.  The child organizations can then edit these newsletters if they want and send them to their own subscribers.  
  1. The parent organization must create or edit a newsletter list and set it to syndicate to other lists.
  2. The child organization must create or edit a newsletter list that will be associated with the newsletter list from the parent organization (by choosing the third syndication option).  The newsletter list at the child organization will receive its content from the parent’s newsletter list.
  3. The parent organization creates a newsletter and distributes it to the child organization.
  4. The child organization may edit the distributed issue or change the publication date for a newsletter.  The newsletter will be sent to the child organization’s subscribers on the selected publication date.


Syndicating to a child organization (Parent Organization):

  1. From the Parent’s LibraryAware account, access the Newsletters section by selecting Newsletters from the top of the LibraryAware page.
  2. On the left side of the Newsletters Overview page, click the Newsletter Lists link.
  3. At the Newsletter Lists page, click the Create Newsletter List button or the Edit List Settings link to the right of the newsletter list you wish to syndicate.
  4. If this is a new list, enter the newsletter list information.  See How do I create a newsletter list? for information about these fields.
  5. Under the List Syndication field, select the radio button for This list will syndicate issues to other lists.
  6. If this is a new list, click the Customize list layout button to determine the look of the newsletter issues for this newsletter list.  See How do I create a newsletter list? for information about these options.
  7. When you have finished making your layout selections, click the orange Select Layout button.
  8. Click the Save Changes button to save your newsletter list.

Receiving content from a parent’s syndicated list (Child Organization):

  1. From the Child’s LibraryAware account, access the Newsletters section by selecting Newsletters from the top of the LibraryAware page.
  2. On the left side of the Newsletters Overview page, click the Newsletter Lists link.
  3. At the Newsletter Lists page, click the Create Newsletter List button or the Edit List Settings link to the right of the newsletter list you wish to syndicate.
  4. If this is a new list, enter the newsletter list information.  See How do I create a newsletter list? for information about these fields.
  5. Under the List Syndication field, select the radio button for This list will use the following list as a source of issues.   In the drop-down, you will see a list of newsletter lists that your parent organization has set to syndicate.  Select a newsletter list from which to receive content.
  6. If this is a new list, click the Customize list layout button to determine the look of the newsletter issues for this newsletter list.  See How do I create a newsletter list? for information about these options.
  7. When you have finished making your layout selections, click the orange Select Layout button.
  8. Click the Save Changes button to save your newsletter list.

Creating a newsletter issue and distributing it to child organizations (Parent Organization):

  1. The parent organization can now create a new newsletter issue under the newsletter list.  See the How do I create and edit a newsletter issue?  page.
  2. From the Parent’s LibraryAware account, access the Newsletters section by selecting Newsletters from the top of the LibraryAware page.
  3. On the left side of the page, click the Newsletter Lists link.
  4. Click the View Issues link under the newsletter list.
  5. From the list of newsletter issues, click the Distribution link to the right of the issue you want to send to your child organizations.
  6. Click the Create Distribution button.
  7. From the Create Distribution form, select the Schedule checkbox if you want to set the date for the newsletter to distribute to the child organization’s subscribers.  Select the date and time.
  8. Click the Begin Distribution button.
  9. The newsletter will be distributed to any child organizations that have been set up to receive the newsletter.  

Make edits to a syndicated newsletter (Child Organization):

  1. The child organization can access the distributed newsletter by selecting the Newsletters link at the top of the screen.
  2. At the Overview page, you see find the distributed newsletter in your list of Current Newsletter Issues.  If a send date was scheduled for the newsletter, you will find it by clicking Show: Scheduled.  If no send date was selected, the newsletter will appear in the list of draft issues (Show: Draft).
